TM in Action privacy notice

TM in Action (tminaction.com) is an educational website operated by John Markham. We aim to collect as little personal information as possible. Visitors do not need to create an account, submit a contact form or provide contact details to browse the site. Thisdoes not mean that no personal data is processed: hosting services process technical information, and the optional AI chat processes messages you choose to send.

1. Optional AI chat

The assistant uses Chatling to answer general questions about the information on this website. AI answers may be inaccurate and are not medical advice. Please do not enter medical information or other sensitive personal information, or identifying details about yourself or anyone else. You do not need to provide your name, email address or telephone number.

The website’s chat button first displays a privacy notice. Chatling is loaded only when you choose “Load AI chat”. Loading it connects your browser to Chatling. Messages, responses, conversation identifiers and technical information needed to provide the service are processed by Chatling and its service providers. John Markham can review conversations in the dashboard to maintain the assistant and respond to privacy requests.

Chatling uses an AI provider to generate answers. For the agreed GPT-5.1 configuration, this provider is OpenAI. Processing may take place outside the UK, including in the United States. Chatling provides a data processing agreement containing arrangements for international transfers. See Chatling’s privacy policy and data processing agreement.

We manually delete conversations from the Chatling dashboard each month. This is a monthly housekeeping schedule, not an automatic 30-day expiry for each message. Chatling says deleted conversations disappear from the dashboard immediately and are purged from its live systems within up to five days. Residual encrypted backup copies can remain until Chatling’s backup-retention schedule expires; its support response did not specify that period. Deleting a conversation does not erase requests already processed by the AI provider. Chatling’s support response states that OpenAI API data is not used for model training by default and that abuse-monitoring logs may be retained for up to 30 days.

2. Cookies and browser storage

Chatling describes its current widget cookies as functional cookies: a random visitor identifier may last up to 365 days and conversation or widget-state identifiers up to 30 days. These durations describe browser cookies, not how long chat messages are kept. Chatling support says the widget does not include advertising or third-party analytics. The website’s wrapper does not save your decision to load the chat.

You can block or delete cookies using your browser, although this may affect conversation continuity. Other embedded services, such as Vimeo, may use additional cookies controlled through the website’s Cookie Settings. See our cookie policy and Chatling’s cookie policy.

3. Technical information and security

Hosting and security services may process IP addresses, browser and device information, referring URLs and access times to deliver and protect the website. We rely on our legitimate interests in operating a reliable, secure educational website for this necessary technical processing. We do not claim that these technical records are anonymous or that all records are deleted within a fixed period we have not verified.

4. Contact and external services

You can contact John directly at john.markham@tm.org or 07376 792974. Information you provide through our contact form, by email or by telephone is handled to answer your enquiry. The form asks for your name, email address, message and an optional telephone number. It sends the enquiry to John at his tm.org mailbox; the national website enquiry form is not used. We rely on our legitimate interests in responding to enquiries. Contact Form 7 does not save a separate submission inbox in WordPress; messages are processed through our hosting and email services and retained in the receiving mailbox. We keep enquiry information only as long as needed to respond and manage any resulting service or applicable record-keeping obligations, and review closed enquiries for deletion. Email-provider retention and backup arrangements also apply. The form includes a simple spam-check question and does not accept attachments. 5. Your privacy rights

To ask about access, correction, deletion or other applicable data protection rights concerning this website or its chat, contact John using the details above. Please give enough information to locate the conversation, such as its approximate date and time, without sending unnecessary sensitive information. Requests relating to information you submitted directly to another organisation should go to that organisation. You may also raise a concern with the Information Commissioner’s Office.

6. Changes

We will update this notice when the website’s services or data practices change.
